Property management software vs spreadsheets: signs it’s time to switch

Most landlords and property managers in Nigeria start with a spreadsheet. It is familiar, flexible and good enough to list tenants, rent amounts and due dates. For a handful of units, that may be all you need. But as your portfolio grows, or as you add shortlets and property sales, the spreadsheet that once saved you time can start costing you time. This guide looks at the signs you have outgrown spreadsheets and what property management software can do instead.

Why spreadsheets work at first

Spreadsheets are a sensible starting point. They let you:

  • Record tenant names, units and rent amounts in one table.
  • Note lease start and end dates.
  • Mark who has paid with a simple column or colour code.

The trouble is that a spreadsheet only knows what you type into it. Every payment, reminder, receipt and update depends on someone remembering to do it. As the number of properties and people involved grows, that manual effort grows with it.

Sign 1: You spend hours matching payments

If you regularly scroll through bank statements trying to work out which ₦350,000 transfer came from which tenant, your spreadsheet is no longer saving you time. Transfers with missing or unclear narrations make reconciliation slow, and mistakes are easy to make.

Spreadsheets also make it hard to answer simple money questions with confidence, such as how much rent is outstanding across all your properties this month, or which tenants have paid late more than once this year.

With Recurrent, tenants pay through the platform into your wallet, and each payment is tied to an invoice. You withdraw to your bank account when you choose, and your records stay accurate without manual matching.

Sign 2: Reminders and receipts depend on you

A spreadsheet cannot remind a tenant that rent is due, and it cannot send a receipt when they pay. If you find yourself sending the same messages every month, or tenants ask for receipts you have not yet written, it is time to automate.

Recurrent issues one-off and recurring rent invoices, sends payment reminders by email and SMS, and generates receipts automatically when payments are made. The routine work happens on schedule, whether or not you are at your desk.

Sign 3: Your records are scattered

Tenant details in one file, signed agreements in a drawer, ID copies in your phone gallery and repair complaints buried in chat messages: this is a common picture. When information is spread out, simple questions take too long to answer:

  • Which tenants have leases ending next quarter?
  • How much caution deposit did a particular tenant pay?
  • Has the leaking roof in Flat 3 actually been fixed?

Property management software keeps these things together. In Recurrent, tenant records include lease dates and deposits, tenancy agreements can be prepared with AI assistance and signed electronically, identity is confirmed through KYT, and complaints and repair tickets are tracked until they are resolved.

Sign 4: You cannot safely share access

Sharing a spreadsheet with a property manager or caretaker usually means giving them everything, including figures they do not need. Copies get emailed around, and it soon becomes unclear which version is current. In Recurrent, you can add property managers as team members, so they can help run your properties without you handing over your personal login. For property sales, role-based access keeps sensitive buyer records secure.

Sign 5: Your business now includes shortlets or sales

Spreadsheets struggle when you run more than one type of property business. Shortlets need an availability calendar, nightly pricing, reservation deposits and guest communication at every step. Installment sales need agreements, invoices, receipts and milestone tracking over several years. Recurrent covers rentals, shortlets and property sales in one platform, so you do not need a separate spreadsheet for each side of the business.

Ask yourself a few honest questions:

  • Do you keep separate files for rentals, shortlets and sales?
  • Do you copy the same tenant or guest details from one file to another?
  • Would a new team member struggle to understand your system without you explaining it?

If you answered yes to any of these, moving to a single platform is likely to save you time.

Making the switch

Moving away from spreadsheets does not have to be disruptive. Start with one property, add your tenants and their lease dates, set up recurring invoices and let the reminders run for a cycle. Once you are comfortable, bring in the rest of your portfolio and invite your team. If your spreadsheet is starting to feel like a second job, see how Recurrent manages rentals or create your account and start with your first property.
